Permission is agreed with applicants for the use of personal data on both an application form and a tenancy agreement.

  2. Date of Birth: For purpose of identification and to clarify the legal age of any applicants.
  3. Gender: For purpose of identification and suitability of some tenancies.
  4. Job Title or Profession: For purpose of identification.
  5. Next of Kin: Contact details in the case of emergencies.
  6. Contact information such as email addresses and telephone numbers: For contact purposes
  7. Financial information such as pay slips and bank statements: To collect information regarding whether a prospective tenant is suitable for a property this will be destroyed after the tenancy agreement has been signed..
  8. Photographic ID in order to comply with the Right to Rent legislation and identification purposes.
  9. technical information, including the Internet protocol (IP) address used to connect your computer to the Internet, your login information, browser type and version, time zone setting, browser plug-in types and versions, operating system and platform

What we do with collected information

Any information we may collect is for the use of Premier Property Management (Lincolnshire) Limited. We only use information for correspondence with you personally or via our authorised contractors, to provide you with our services and to monitor rental accounts.  The information we will request from you will be limited to the necessary information required to provide you with the service you have requested. We do not ask for any information that is not necessary or is irrelevant to your individual needs or requirements. Should your personal information change at any time, we would ask you to keep us informed of the change so that our records may stay up to date. We will retain any submitted data for 12 months or for the duration of your tenancy, whichever is greater. The Managing Director of Premier Property Management (Lincolnshire) Limited is the “data controller”. No information is kept for the purposes of marketing. All data is collected only for the lawful purpose of referencing, producing a tenancy agreement and managing the property concerned with yourself. Data is kept as accurate as the information provided by the applicant or client. We keep up to date any information relevant to the above lawful purposes.

Where your data is stored

Personal information that we hold about you is held securely on a separate secure server. Any other information may be kept as a paper copy in our filing system that is locked within the office. All of this data is stored securely in accordance with the principles of the Data Protection Act 1998 and GDPR. For more details on security see the clause below.

Any or all of the above data may be required by us from time to time in order to provide you with the best possible service and experience when using our services and website. Specifically, data may be used for internal record keeping, in each case in accordance with this privacy policy. The documented data is kept for the duration of the tenancy, and referential data for example bank statements are kept until 60 days after the application process is complete, and then destroyed. At the end of a tenancy unless there are payments outstanding all personal data relating to said tenancy is deleted, with the exception of contractual or deposit documentation that may me kept for up to seven years and can not be copied, transferred or  destroyed on request without the consent of the Data Controller.
